From contract signature to your first scored pipeline output is two to three weeks. Full calibration, where the system reliably reflects how you make decisions, settles in around Month 3 and keeps sharpening from there. The setup has four phases and each builds on the last.
Phase 1: Foundation (Week 1)
Fulcrum configures the technical architecture:
- Tenant environment setup
- CRM integration
- Data source connections
- Initial field mapping
At the same time, your team completes the Voice Corpus recording sessions — 3–5 hours across two or three scheduled calls.
Your time investment in this phase
- Voice Corpus sessions: 3–5 hours total
- One 60-minute architecture review call
---
Phase 2: Pattern library and scoring architecture (Week 2)
Fulcrum processes the Voice Corpus recordings and builds the initial pattern library:
- ICP signals
- Tier definitions
- Disqualifier list
- Scoring criteria structure
The pipeline architecture is built and tested against a sample of your historical records.
Your time investment
- One 45-minute review of the draft pattern library to confirm it reflects your actual standard before the system goes live
---
Phase 3: First run and calibration (Weeks 2 to 3)
The system runs its first complete pipeline against your full CRM dataset. You receive:
- The first scored output
- The first correction queue
This is where you see the gap between what the system assumed and what you actually think — and the first corrections dramatically improve the next run.
Your time investment
- First correction review: typically 45–60 minutes (longer than steady state because you are seeing the full gap for the first time)
---
Phase 4: Live system and full calibration (Month 3 and beyond)
After the first correction cycle, the system moves into steady state:
- Weekly pipeline runs
- Weekly brief
- Weekly correction queue
Your ongoing commitment is 20–30 minutes per week.
Fulcrum does not declare Phase 2 (live retainer) until Phase 1 accuracy clears the kill criteria threshold:
- 50% minimum accuracy
- 60% target accuracy
If the first run accuracy is too low, the architecture is reviewed and adjusted before billing starts.
